Approved commercial terms should flow into the PO. Changes in quantity, rate, delivery or specification should be recorded as controlled amendments instead of being buried in messages.
Site teams should record actual quantity received, shortages, rejection and delivery evidence against the order. GRN or MRN data then gives procurement and accounts a clearer basis for supplier follow-up and invoice verification.
